This policy explains what personal data Movit collects when you visit this page, register for our webinar, or otherwise interact with us, why we collect it, and what rights you have over it.

1. Who we are

We are the data controller for the personal data described in this policy. That means we decide what data is collected and why.

Because we are established in Luxembourg, our processing is governed by the EU General Data Protection Regulation (GDPR) and Luxembourg data protection law. If you are in the United States or Canada, additional rights may apply to you — see sections 9 and 10.

2. What data we collect

When you register for the webinar:

First name and last name
Email address
Business/gym name (if provided)
Country or region (if provided)
Any other information you voluntarily enter into the registration form

When you attend the webinar:

Attendance data (whether you joined, when you joined and left, how long you stayed)
Questions, chat messages, or poll responses you submit during the session
Your name as displayed in the session

When you buy the Gym Growth Scorecard or another Movit product:

Billing name and address
Order and transaction details
Payment card details are collected and processed directly by Stripe. We do not receive or store your full card number.

Automatically, when you visit our pages:

IP address
Browser type, device type, operating system
Referring URL and pages viewed
Timestamps and general location inferred from IP (city/country level)
Cookie and pixel identifiers (see section 7)

When you receive our emails:

Whether the email was delivered, opened, and which links you clicked

We do not knowingly collect special category data (health, biometric, political, religious or similar). Please do not submit it to us.

3. Webinar recording

The live webinar is recorded. Registration is handled through Luma and the session itself is delivered over Zoom. The recording captures the presentation, the presenters' audio and video, and any questions submitted through the chat or Q&A panel.

Attendee cameras and microphones are disabled by default and are not recorded. If you submit a question during the session, your first name and the text of your question may appear in the recording, which we may reuse — for example, by sending the replay to registrants or using excerpts in marketing material.

If you would prefer not to appear in the recording in any form, do not submit questions through the chat or Q&A panel, or email us at maud@wearemovit.com and we will remove your contribution.

4. Why we use your data, and our legal basis

Where we rely on legitimate interest, we have assessed that our interest does not override your rights. You can object at any time — see section 8.

You can unsubscribe from marketing emails at any time using the link in the footer of any email. That does not affect service emails relating to something you registered for or purchased.

5. Who we share your data with

We share personal data with service providers who process it on our behalf, under contract, and only for the purposes we specify:

Luma (Lu.ma) — event registration, attendee management and event reminders
Zoom (Zoom Communications, Inc. / Zoom Video Communications B.V.) — delivery, hosting and recording of the live session, and attendance tracking
Google Workspace (Google Ireland Limited / Google LLC) — business email and correspondence
[EMAIL MARKETING PLATFORM — TO BE CONFIRMED BEFORE LAUNCH] — follow-up email sequences and list management
Google Analytics — website and landing page traffic measurement
Meta Platforms (Meta Platforms Ireland Ltd / Meta Platforms, Inc.) — advertising delivery, audience matching and conversion measurement via the Meta Pixel
Lovable — landing page hosting and form capture
Stripe (Stripe Payments Europe Ltd / Stripe, Inc.) — payment processing

We also disclose data to professional advisers (accountants, lawyers), and to authorities where we are legally required to.

We do not sell your personal data for money.

6. International transfers

Some of our providers are located in the United States or elsewhere outside the European Economic Area. Where we transfer personal data outside the EEA, we rely on:

the European Commission's adequacy decision for the EU–US Data Privacy Framework, where the provider is certified (Google, Meta, Zoom and Stripe each maintain certifications under this framework); or
the European Commission's Standard Contractual Clauses, together with supplementary safeguards where appropriate.

7. Cookies, pixels and tracking

We use cookies and similar technologies:

Strictly necessary — required for the site and forms to function. These do not require consent.
Analytics — help us understand traffic and page performance.
Advertising — including the Meta Pixel and [Google Ads tag], which allow us to measure ad performance and show you Movit ads on other platforms after you visit this page.

Where required, we ask for your consent before setting non-essential cookies, and you can change your choices at any time via the cookie settings link on our site. You can also block or delete cookies in your browser, though some parts of the site may then not work.

For California residents: our use of advertising pixels may constitute "sharing" of personal information for cross-context behavioural advertising under the CCPA/CPRA. You can opt out via [DO NOT SELL OR SHARE MY PERSONAL INFORMATION LINK] or by rejecting advertising cookies in our cookie banner. We honour Global Privacy Control (GPC) signals.

8. How long we keep your data

Webinar registration and attendance data: [24] months from the event, unless you remain an active subscriber or customer
Marketing contacts: until you unsubscribe, or after [24] months of no engagement, whichever comes first
Customer and transaction records: 10 years, as required by Luxembourg accounting and tax law
Website analytics: [14] months
Webinar recordings: [36] months, or until we stop using the recording commercially

9. Your rights

If you are in the EU/EEA, UK or Switzerland (GDPR)

You have the right to:

Access the personal data we hold about you
Rectify inaccurate or incomplete data
Erase your data ("right to be forgotten")
Restrict how we process it
Object to processing based on legitimate interest, and to direct marketing at any time
Data portability — receive your data in a structured, machine-readable format
Withdraw consent at any time, without affecting processing carried out before withdrawal

If you are not satisfied with our response, you can lodge a complaint with the Luxembourg supervisory authority:

If you are in the United States

Depending on your state of residence — including California, Virginia, Colorado, Connecticut, Utah, Texas, Oregon, and others with comprehensive privacy laws — you may have the right to:

Know what personal information we collect, use, and disclose
Access a copy of your personal information
Delete your personal information
Correct inaccurate personal information
Opt out of the sale or sharing of personal information and of targeted advertising
Non-discrimination — we will not deny you services or charge you different prices for exercising your rights

In the past 12 months we have collected the following categories of personal information: identifiers (name, email, IP address), commercial information (purchases), internet activity (browsing and email engagement), and inferences drawn from these. We collect it from you directly and automatically through our website, and we disclose it to the categories of service provider listed in section 5 for business purposes.

To exercise these rights, email maud@wearemovit.com with the subject line "Privacy Request". We will verify your identity by matching the information you provide against our records. You may use an authorised agent, in which case we will require written proof of authorisation.

If you are in Canada

Under PIPEDA and applicable provincial legislation (including Quebec's Law 25), you have the right to access the personal information we hold about you, request its correction, and withdraw consent to its use. Contact maud@wearemovit.com.

Under Canada's Anti-Spam Legislation (CASL), we send commercial electronic messages only with your express or implied consent, we identify ourselves in every message, and every message includes a working unsubscribe mechanism.

10. Security

We use encryption in transit (HTTPS), access controls, and vetted providers to protect your data. No system is completely secure, but we take reasonable steps proportionate to the risk. If a breach occurs that is likely to result in a risk to your rights, we will notify the CNPD and, where required, you.

11. Children

Our services are for gym and studio owners and are not directed at anyone under 16. We do not knowingly collect data from children. If you believe a child has given us personal data, contact us and we will delete it.

12. Automated decision-making

We do not make decisions producing legal or similarly significant effects about you based solely on automated processing.

13. Changes to this policy

We may update this policy. The "last updated" date at the top shows when. If we make material changes, we will notify registered contacts by email.
